Privacy Policy

This policy explains how Vynix Tech ("Vynix", "we", "us") handles personal data when you visit vynixtech.net (the "Site") or contact us through it. It does not cover our products Inventra, Vendar or Vynix Docs, which have their own privacy terms.
1. Who we are
Vynix Tech is a business name registered in Ghana (registration number BN240020226), with its head office at 22 Krapa Street, Tema, Greater Accra, Ghana. We are the data controller for personal data collected through the Site. You can reach us at vynixtech29@gmail.com.
2. Data we collect
We collect only what we need:
- Contact form: your name, email address, company (optional) and the message you send.
- Server and hosting logs: technical data that our hosting provider records automatically when any website is visited, such as IP address, browser type, pages requested, date and time, and error information.
We do not ask for sensitive personal data through the Site. Please do not include it in your message.
3. How and why we use your data
- To read and reply to your enquiry and, if you ask, to discuss or prepare a proposal for our services.
- To keep the Site secure, prevent abuse and spam, and fix technical problems.
- To meet our legal obligations and to establish, exercise or defend legal claims.
4. Legal basis
We process personal data in line with the Data Protection Act, 2012 (Act 843) of Ghana and, where relevant, the Electronic Transactions Act, 2008 (Act 772). We rely on your consent when you choose to send us a message, on steps you ask us to take before entering into a contract, on our legitimate interest in running and securing the Site, and on legal obligations where they apply.
5. Who we share data with
We do not sell personal data. We share it only with service providers who help us run the Site:
- Hosting: the Site is hosted on Vercel, which processes server logs and delivers the Site to you.
- Email delivery: contact form messages are sent to our inbox through an SMTP email provider, using the Nodemailer software library.
We may also disclose data where the law requires it, to protect our rights, or as part of a business reorganisation, subject to confidentiality.
6. International transfers
Our service providers may store or process data outside Ghana, including in the United States and the European Union. Where this happens, we rely on providers that offer appropriate safeguards and take reasonable steps to make sure your data stays protected.
7. How long we keep data
We keep contact form messages and related email for as long as needed to handle your enquiry and any follow-up relationship, and normally no longer than 24 months after our last contact, unless the law requires longer or a dispute is ongoing. Server logs are kept for the limited period set by our hosting provider.
8. Security
We use reasonable technical and organisational measures to protect personal data, including encrypted connections (HTTPS) and restricted access. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. Your rights
Under Act 843 you may ask to access the personal data we hold about you, ask us to correct or delete it, and object to certain processing. You can also withdraw consent at any time, without affecting processing that took place before.
If you are in the European Union or the United Kingdom, you may have similar rights under your local law, including the right to restrict processing, to data portability and to complain to your local data protection authority.

10. Cookies
The Site does not set cookies for analytics or advertising. See our Cookie Policy for details.
11. Children
The Site is aimed at businesses and is not directed at anyone under 18. We do not knowingly collect personal data from children. If you believe a child has sent us data, contact us and we will delete it.
12. Changes to this policy
We may update this policy from time to time. The "Last updated" date shows when it last changed. Significant changes will be posted on this page.
